Custom Business Management Platform
A single system for a project-based service business, covering client intake, quoting, job execution, change orders, and invoicing.
What was built
- A workflow where an approved quote becomes an active job automatically, with numbered, signed documents.
- Change order tracking, expense tracking, and milestone and deposit billing tied to each job.
- A branded client portal for reviewing and approving quotes, signing, and paying invoices online.
- Role-based access, an audit trail of every action, and client-ready PDFs for every document.
Result
Spreadsheets and paper processes were replaced by one system of record, giving ownership a live view of every job's financial status and shortening the path from quote sent to job started.
QuickBooks Online Integration
A two-way bridge between the platform's billing and the customer's QuickBooks Online account, so the books stay current without re-entry.
What was built
- Automatic customer matching and creation when a quote is approved, with a review step for ambiguous matches before anything is written.
- Automated posting of invoices, payments, and bank deposits, supporting different processor-fee handling models.
- A background sync that retries failures on its own and distinguishes a real failure from the accounting API simply rate-limiting.
- Handling of refunds, voided payments, bank returns, and chargebacks, each posting the correct entry.
Result
Manual double-entry was eliminated, and payments appear in the books shortly after they are received.
Integrated Online Payments (Card & ACH)
Secure payment collection, by card or bank transfer, built into quotes, invoices, and the client portal.
What was built
- Hosted, tokenized card capture so card data never touches the business's own servers, plus bank transfers with proper authorization capture.
- Signed webhook verification, with test credentials kept strictly separate from production.
- Settlement tracking that also polls for status, so a dropped notification never leaves a payment in limbo.
- Automatic handling of voids, returns, and chargebacks that reopens or credits the right invoice.
Result
Customers can pay invoices immediately online instead of mailing checks, and the business keeps a clean record of every transaction.
Multi-Tenant SaaS Conversion
An internal, single-company tool re-architected into a white-labeled product that can be set up for a new customer quickly and repeatably.
What was built
- Isolated, containerized deployments per customer, each with its own database, credentials, and branding.
- A resumable provisioning pipeline that prepares a new customer's database, first admin account, and storage.
- A staged release process (development, staging, production) and disaster-recovery infrastructure with tested failover.
- Central control of per-customer features and seat limits that customer admins cannot override.
Result
An internal tool became a repeatable product, with new-customer setup reduced from a manual, multi-step effort to a scripted process and no shared data between customers.
Mobile Field Experience
A phone-first rebuild of the field-facing side of the application, for crews working on job sites with unreliable signal.
What was built
- A redesign of the full application for one-handed use on site.
- Offline-tolerant photo uploads that save to the device instantly and sync in the background when a connection returns.
- Tap-to-call, tap-to-navigate, and tap-to-email actions, with photos tied automatically to the right jobs, quotes, and invoices.
Result
Job documentation is captured and synced as it happens, rather than waiting until someone is back at the office.
Across these projects: attention to security (session control, audit logging, encrypted backups), automated monitoring and alerting, and a release process that tests every change before it reaches a customer.
